Personal data may be processed by the Belgian Physical Society [also known as the BPS], with its Registered Office in Avenue de la Renaissance, 30, 1000 Bruxelles, Belgium.
BPS is a scientific society with the status of a unincorporated association. According to its statutes, BPS serves to contribute and promote research in the field of physics.
In order to do so, the society organises activities and publishes information to serve this goal.

PBS processes personal data in accordance with the below principles and practices. If we process your personal data, we will treat such data carefully in order to safeguard your privacy. Which personal data do we process?

As far as necessary within the scope of our mission, governance of membership and activities, we collect and process your personal identification data and field of professional expertise and/or interest.

During an activity of BPS in which you are taking part, specific or non-specific visual material (e.g. picture, images) can be processed.
We process your payment details through our bank and its online payment platform.

Why and on which basis do we process your personal data?

When you register for an activity of BPS, this registration constitutes an agreement. On the basis thereof, we process your personal data for the purposes of managing the administration of that activity. If you fail to provide the required data, you will not be able to register for the event at hand.

As a scientific society, the BPS aims to share knowledge on physics and engage the public in its activities. Based on this inherent legitimate interest, we may contact you again for these purposes, once you were a participant to an activity of BPS or you are known as a valued contact.

In some cases, BPS will request your explicit consent to process your personal data. When you pose for a specific picture, this constitutes such explicit consent. BPS may edit and spread these pictures for publication and promotion purposes (e.g. through hard copy publications, on its website, social media).

How do we collect your personal data?

We may collect information about you:

  • directly from you, such as the information you provided to us when you registered to an activity;
  • from other sources, such as the person registering you for activity, your peers; and

With whom do we share your personal data?

To fulfil the above purposes, the BPS will only share your personal data with third parties if one of the following circumstances applies:

  • for executing a service for BPS, e.g. hosting, online form building, mailing platform, payment services;
  • if required for co-organising the activity at hand;

BPS does not intend to transfer your personal data to a third country or international organisation outside the EEA.
BPS does not transfer your personal data to any online advertising service.

For how long will we store your data?

BPS retains your personal data for as long as it is relevant for its purposes and as legally required.

Use of cookies

Sales and payment terms and conditions

The conditions provided below are applicable to the use of the website of the Belgian Physical Society (BPS), with KBO number 0410.506.572 and Avenue de la Renaissance, 30, 1000 Bruxelles. The account number of BPS is IBAN BE03 0000 8457 3084 (BIC BPOT BE B1).

Placing an order implies a payment obligation and counts as an explicit agreement of the general sales and payment terms and conditions.

Accounts and invoices issued by BPS are payable at the address of its administrative headquarters, thirty days after the date of the account or invoice, except when different terms of payment are stated on the account or on the invoice. The prices charged by BPS are published exclusive VAT. Payment must be effected of the amount due into the BPS account number which is given on the account or invoice. Payment must be effected by direct payment, bank transfer or Paypal.

After the online payment system has accepted your payment, a confirmation is provided online and via email.
